Job Description and Duties

The State Lands Commission may utilize the Office Services Supervisor I (General) promotional exam list for the Department of Corrections, Department of Social Services, or the Department of Motor Vehicles to fill this vacancy. Under general supervision of the Staff Services Manager I, the incumbent is responsible for providing functional guidance and supervision to all support staff in the Office Services Unit. Plans, coordinates and directs the handling of administrative/clerical activities such as phone coverage, mail handling, maintenance and organization of files, mass mailings of public notices, photocopies and assembles Commission meeting materials, orders supplies, files, equipment management, and inventory tracking. Reviews and monitors staff work for accuracy and performance, and personally performs the most complex clerical work. Functions include, but are not limited to:
  • Plans, organizes, trains, mentors, and directs Office Support staff engaged in a variety of general office and related clerical support tasks. Develops, revises, and updates Office Services procedures to maintain effective office flow. Establishes goals and sets priorities for the Unit. Ensures that the working environment and conditions are in accordance with policies and procedures.
  • Maintains inventory of selected high use items such as copier paper and toner for use by other units. Performs copier work, document assembling and binding as assigned, and provides miscellaneous typing support; such as, but not limited to, printing labels, document listing, and file folder maintenance.
  • Provides leadership and coordination in high volume production such as Commission mail outs and ensures a timely flow of mail through the mail room. Takes immediate action to rectify situations when necessary, such as front counter issues referred by receptionists, delay in mail delivery, etc.
  • Screens applications, conducts interviews, and makes recommendations for selecting candidates for hire. Sets performance standards and development goals for staff and evaluate work performance through probation reports, performance appraisals, and Individual Development Plans. Provides training to other staff on the full range of Office Services functions. Reviews staff procedures and duty statements. Approves employee leave requests, monitors employee leave balances and reviews staff time sheets for accuracy.
  • Assists with requests under the CA Public Records Act; performs and directs records and file maintenance duties, and provides back-up assistance to Records Management Unit.
  • Fills in during staff absences in any needed capacity.
  • Performs outside messenger services as needed to deliver and pick up documents from various State Agencies in the downtown Sacramento Area. Researches and recommends new or updated office equipment. 

Working Conditions

  • Able to lift and transport boxes up to 30-40 lbs
  • Maintain stationary positions of standing or sitting while performing job duties
  • Off-site deliveries and/or pick-ups which may require operation of a state vehicle as needed
  • Position has a mandatory start time of 8:00 a.m.
  • May require reaching, twisting, turning, kneeling, bending, stooping, squatting, crouching and making repetitive hand movements in the performance of daily duties
