Job Description and Duties

Under direction of the Division Chief (CEA B), the incumbent provides clerical support to the Personnel Management Division (PMD), which includes typing and composing a variety of correspondence and spreadsheets utilizing various Microsoft applications. Schedules and arranges meetings, and prepares agendas and compiles materials for meetings. Works closely with the Labor Relations Division and PMD analysts in processing highly sensitive Out-of-Class (OOC) Grievances. Maintains and updates various task assignments in CalHR’s intranet site (SharePoint), and creates and provides task reports to PMD management as needed. Assists in gathering the State Personnel Board (SPB) agenda items for monthly meetings, and assembles SPB preliminary and final binders for management and Executive Staff. Serves as the division’s procurement coordinator and timekeeper. Maintains and updates PMD’s strategic plan and various PMD rosters, coordinates the hiring process, serves as backup to PMD’s pay letter coordinator, and is responsible for handling the PMD’s main-line and providing assistance and guidance to callers. In addition, is responsible for duplicating, faxing and scanning division-wide documents.

  • The position(s) require(s) the ability to type at a minimum speed as designated on the Class Specifications (link available in the additional documentation section). The SOQ is a narrative discussion of how the  candidate’s education, training, experience, and skills meet the desirable qualifications and demonstrate the candidate’s ability to perform the job duties listed in this bulletin.  The SOQ serves as a documentation of each candidate’s ability to present information clearly and concisely in writing and should be no longer than two (2) pages in length, single-spaced, 12pt. font.

3. Provide your experience and proficiency with database programs, Microsoft Word, and Microsoft Excel.

Desirable Qualifications
