Job Description and Duties

The San Diego State Contracts Legal Department has an opening for a Legal Secretary position in the San Diego location.  The Legal Secretary will be responsible for preparing and processing legal correspondence and documents, processing incoming mail timely, create and maintain files, calendars and databases, handle telephone/electronic communication and perform reception/switchboard duties and perform other duties as assigned by his/her Supervisor.  The incumbent will also be responsible for the setup and maintenance of litigation files as well as inputting and updating data and case management onto Team Connect, working with the Claims Adjusting and Reporting Engine (CARE) and Electronic Adjudication Management System (EAMS).

• Ability to type (45 wpm), format, file, and serve legal pleadings in assigned jurisdiction
• Ability to screen mail, visitors, and telephone calls and take appropriate action
• Ability to interact with courts, administrative agencies, governmental entities, counsels, opposing counsels, or witnesses as  
  directed by the attorney, ensuring deadlines are met
• Ability to compose correspondence independently to perform difficult clerical work
• Ability to train, mentor, and/or assist clerical staff including other Legal Secretary as needed/requested
• Ability to analyze situations accurately and take effective action
• Ability to follow detailed and specific instructions
• Ability to communicate effectively verbally and in writing
• Ability to provide effective customer service to internal and external customers in-person and via telephone
• Ability to adapt to change quickly and to work under pressure

This position is authorized at the Legal Secretary level. To be considered, you must currently be at the Legal Secretary level or be reachable on the Legal Secretary list. Transfers from a comparable classification may also be considered. A Training and Development Assignment (T&D) may also be considered.  Appointments may be restricted to General Reemployment, SROA or surplus State employees.
