Job Description and Duties

The Monitoring and Laboratory Division is seeking an enthusiastic full-time Staff Services Analyst to join the Monitoring and Laboratory Division’s (MLD) Administrative Section. The Administrative Section supports the Air Resources Board's control programs by providing consolidated administrative support to MLD. The Section also maintains and supports the warehouse and shipping and receiving functions for the Division.

Under the supervision of the Staff Services Manager I, the Staff Services Analyst (SSA) provides administrative support to staff and management in the Monitoring and Laboratory Division. The SSA will manage the Division's procurement and invoice payment functions; including determining funding source, and verifying adherence to set requirements. The SSA will serve as the Division Facilities Coordinator. These duties include processing paperwork for requests, tracking requests through completion, and developing weekly reports for management discussion. The SSA will also serve as the Division Fleet Coordinator, working cooperatively with his or her counterpart in the Administrative Services Division. The incumbent will be responsible for collecting and analyzing monthly mileage logs, underutilized vehicle reports, and other documents on a monthly basis. Additional duties include program evaluation and planning, and making recommendations regarding administrative procedures and policies, such as document management and filing, records retention, and paperwork flow within the Division. The incumbent will provide backup support to the Materials and Stores Specialist with warehouse and shipping and receiving related tasks.

Desirable Qualifications

The most competitive candidate will have previous administrative work experience; the ability to work independently and with a team; the ability to work well under multiple and shifting deadlines; strong organizational and project management skills; strong computer skills, including Microsoft Office (Word, Excel, Access, and PowerPoint); and strong communication skills. Candidates should also have the ability to exercise initiative and have excellent attendance and dependability. Previous experience in procurement, fleet management, and/or facilities management strongly desired. Warehouse or shipping and receiving experience a plus.
